    AI & Instructional Intelligence Privacy Notice

    Overview

    Omnix360 includes instructional intelligence features such as pacing signals, misconception detection, tutoring assistance, feedback generation, and related AI-assisted tools. This notice explains how personal data is used in those features and supplements the General Privacy Policy.

    What may go into AI systems?

    Depending on the feature and tenant configuration, inputs may include:

    • Student or teacher prompts and questions
    • Assignment responses and uploaded learning materials
    • Learning history, mastery signals, and assessment results
    • Teacher instructions or lesson context needed to generate feedback
    • Support text you submit to AI-assisted help tools

    Why we use AI

    We use AI to:

    • Generate explanations, hints, and formative feedback
    • Support pacing and remediation recommendations
    • Help teachers diagnose misconceptions and plan instruction
    • Improve clarity of instructional content where the Institution enables it

    Model training, our default stance

    We do not use learner or Institutional inputs to train general-purpose AI models that are shared across unrelated customers, unless a customer agreement expressly says otherwise.

    AI providers may process inputs to return outputs under our contracts with them. We configure providers, where available, to disable retention for model training. Confirm details in your DPA and the Subprocessor List.

    Service improvement using de-identified or aggregated signals may occur where permitted by the customer agreement.

    Who processes AI data?

    AI inference may be performed by GrowWise and by subprocessors such as cloud LLM providers (for example, OpenAI and/or Anthropic, depending on configuration). See the Subprocessor List.

    Retention of AI conversations

    AI prompts and outputs are retained only as needed to provide the feature, for security and abuse prevention, and as required by the Institution’s settings or legal obligations. They are not kept indefinitely for open-ended training use.

    Children and schools

    AI features that process minors’ or student data remain subject to the Children & Minors Privacy Notice and Schools & Institutions Privacy Notice, including no sale and no behavioral targeted advertising of student education records.

    Your choices

    • Institutions can control which AI features are enabled for their tenants (subject to plan entitlements).
    • Users may avoid optional AI tools that require extra prompts where the product allows.
